Virtual Meeting Etiquette - L&G Consultancy

Virtual Meeting Etiquette

Why “Cameras On” Is More Than Just a Rule

In our remote work world, virtual meetings are our lifeline. They bring our global team together, making it easy and flexible to connect, no matter where we are. But with this shift comes the challenge of maintaining the personal connections and engagement that used to happen naturally in a work from office setting.

As the HR Personnel of an Software Development firm, I’ve seen firsthand how small adjustments in our all new virtual behavior can make a huge difference. One of the most impactful yet simple practice I feel we should definitely do is “Turning your camera on during virtual meetings”.

Let’s let’s talk about why this matters and how it can elevate not just communication, but also team dynamics and productivity.

  1. Boosting Engagement and Focus
When cameras are off, it’s easy to multitask, zone out, or even feel disconnected from the conversation. However, with cameras on, there’s a sense of presence that mirrors in-person interactions. Eye contact, facial expressions, and body language suddenly become part of the dialogue again. This heightened level of engagement can lead to more productive conversations and better outcomes.
  2. Strengthening Team Connections
We’ve all experienced it—working from home can sometimes feel isolating. Without the casual office chats or hallway interactions, staying connected with your colleagues can be a challenge.
Video meetings help bridge that gap. Seeing your teammates’ faces, even through a screen, sparks a real sense of connection. In our IT firm, where teamwork is everything, these visual cues are vital for building trust and boosting collaboration.
Imagine a brainstorming session where a shared laugh over a wild idea fuels even more creativity. Or think of celebrating a project win—seeing each other’s smiles makes it feel like a true team victory. So, when we turn on our cameras, we’re not just showing our faces; we’re strengthening our bond and making work a little more fun. Let’s keep that connection alive!
  3. Non-Verbal Cues Matter
Communication goes beyond just words; it’s all about those little non-verbal signals—like a nod, a smile, or even a thumbs-up. These gestures show understanding, agreement, or support. When our cameras are off, we lose those important signals, which can lead to confusion or missed chances to connect on a personal level.
Imagine discussing a tricky coding issue. A quick nod from a teammate can say, “I get it!” or a smile can lighten the mood during a tough moment. But without cameras on, those moments can slip away.
When everyone has their cameras on, we can pick up on those subtle cues that keep the conversation lively and ensure everyone’s on the same page. This is especially crucial in IT, where clear communication is key to navigating complex projects. So, let’s show our faces and keep the good vibes flowing!Non-verbal communication tips
  4. Creating Accountability
Being visible really helps us stay accountable. When your camera’s on, it’s easier to focus and participate. Let’s be real—it’s hard to check emails or scroll through your phone when everyone can see you!
For remote IT teams, this is crucial. During a technical meeting, if everyone’s on screen, we can spot confusion or excitement more easily, leading to faster problem-solving.
So, when we turn on those cameras, it keeps us all engaged and helps our team succeed.
  5. It’s More Professional—and Polite
In a business setting, appearing on camera is akin to showing up for a meeting in person. It demonstrates professionalism and respect for your colleagues’ time. It signals that you’re fully present and ready to contribute. At our firm, maintaining this standard reflects our commitment to clear, respectful, and productive communication.
  6. Making Virtual Work More Human
Just because we’re working remotely doesn’t mean our interactions have to feel distant. When you turn on your camera, it makes virtual meetings feel warmer and more personal—something we all crave, especially now when we can’t gather in person.
Picture this: seeing your teammates smile or share a quick laugh can really brighten the mood. When we turn on our cameras, it’s like saying, “I’m here, I’m engaged, and I’m part of this team.” It adds a little humanity to our virtual hangouts.

Practical Tips for Camera Etiquette in Virtual Meetings

  • Pick a Good Spot: Find a quiet, well-lit place for your meetings. Make sure your background looks nice—no one wants to see your laundry or messy room.
  • Dress for Success: Treat your home like the office. Wear something you’d wear to a meeting. It helps you feel professional and ready to go. Remember, no pajamas!
  • Body Language Check: Sit up straight, look at the camera, and pay attention. Just because you’re at home doesn’t mean you can zone out. A smile or nod can really make a difference!
  • Tech Check: Give your camera and microphone a quick test before the meeting. Nothing derails a meeting faster than “Can you hear me?” for the fifth time.
  • Mute When Not Speaking: Keep the background noise down by muting yourself when you’re not talking. Your teammates will thank you—no one wants to hear your dog barking or the TV blaring!

Final Thoughts

At L&G, we really believe that connection matters, even in a virtual world.
When you turn on your camera, you’re not just showing your face—you’re bringing energy and personality to our meetings. This small act makes a big difference in how we communicate and keeps things engaging for everyone, including our clients overseas.

It strengthens our bonds and makes them feel included, too. So next time you hop into a virtual meeting, remember: let’s see those smiling faces! It makes all the difference.

Whether we’re in Amritsar, Kolkata, Kashmir, Mumbai, Cape Town, Dubai, or anywhere else, seeing each other’s faces helps us feel more connected. So let’s keep those cameras on and make our collaboration even stronger!
